The New York Times seeks a bureau manager, Kyiv

We have an exciting opportunity for a bilingual Bureau Manager to join our team in Kyiv to manage the operations of our new Ukraine bureau.

As a Bureau Manager you will be the point person for administrative matters for the Kyiv Bureau and play a critical support role, aiding the Kyiv bureau chief and reporters coming in and out of the country with local operations. You will be responsible for supporting staff in the country and any visiting staff in Ukraine.

Our ideal candidate has excellent communication skills and should enjoy solving difficult logistical problems in high-speed environments. This is a job for someone who thrives in a varied and challenging environment, and can stay organized under pressure. The role is varied; one day you may be approving expenses and arranging travel, the next you may be calculating monthly expenses to analyze and summarize the budget for the bureau across multiple departments.

Ability to manage competing deadlines, juggle multiple projects and attention to detail are a must, as is an ability to write clearly and concisely in English. This is a full-time, paid position and reports directly to our Kyiv Bureau Chief.

Job Responsibilities:

  • Manage all administrative tasks for the bureau; include banking, cellular communications, approving and processing all expenses, assisting in managing payroll, invoices and cash advances for the bureau.
  • Analyze monthly budgets, alert overspending, and coordinate with Newsroom Finance and Operations on tracking of spend.
  • Act as point of contact for all visitors to the Bureau.
  • Coordinate and allocate physical resources and operations, including office and personnel moves, subscriptions, and miscellaneous coordination with the Operations team in NY and London.
  • Plan any necessary travel arrangements for the Kyiv bureau.
  • Support rotating staff in the country, including Visual Desks, with any staffing issues, visa, cash or other operational issues.
  • Assist with the onboarding of new employees, in coordination with HR/IT; ensure they have appropriate equipment and documents, but also help obtain visas and sort any Immigration issues for expats.
  • Responsible for equipment and resource emergencies; coordinate with security and other teams around any needs.
  • Performing other duties as determined by supervisors.
  • Fire marshal and first aider, maintaining the emergency checklist and safety equipment in the bureau. Ensuring smoke alarms, fire extinguishers, first aid kits are regularly checked and in good working order.

Requirements:

  • Fluent in English and Ukrainian, written and spoken.
  • Numerate and confident working with spreadsheets and budgets.
  • Good general computer skills are also a must (Google Suite or MS Word, Excel, G-Suite).
  • Experience using Notilus, Workday, Egencia or other expense systems would be desirable but not essential.
  • Meticulous organizational skills; ability to prioritize with strong attention to accuracy.
  • Excellent communication skills, written and verbal.
  • Shows initiative and independence; identifies and tackles tasks that need completion, without instruction.
  • A good collaborator and receptive to feedback.
  • Ability to deal with management, staff and sources in a highly professional manner.
  • Professional judgment with respect to confidentiality is a must.
  • General knowledge of finance and accounting.
  • Excellent troubleshooting skills.
  • Belief in the NYT mission, values and an interest in working for a media organization.
