POLITICO is in a transformational moment. We are a global newsroom, growing rapidly, and focused on driving impact across politics, policy and power. We are seeking a talented, versatile and hands-on Executive Assistant to support our newsroom leadership team in Washington D.C.
Our ideal candidate is a self-starter who is organized and can manage competing priorities in a timely manner. Someone who will thrive in a fast-paced environment, as well as has a willingness to respond to requests with a problem-solving mindset and enthusiasm. A key element of the job is being detail oriented.
This person will play a central role in making our leadership successful by managing their daily operations and project managing some of the most important newsroom priorities. They will also be coordinating with our newsrooms across the U.S. and Europe, so you will have to navigate time zones and calendars.
What You’ll Do:
- Rigorously maintain calendar coordination, scheduling, and business contacts for the Editor-in-Chief and their leadership team
- Manage travel and transportation bookings, detailed itineraries, and expense reports
- Prepare team for meetings including weekly team leadership meetings, all staff meetings, and other internal meetings
- Research, capture, and compile data to prepare presentation materials, spreadsheets and/or customized reports for leadership
- Maintain & organize key newsroom-wide documents
- Anticipate and proactively manage tasks and projects for leadership team as needed
What You’ll Need:
- 4+ years as an administrative assistant or similar work experience
- Excellent organizational and multitasking skills; consistent attention to detail
- Strong communication skills across phone, email and in-person
- Experience working with executive leaders, including managing and organizing confidential information
- High tolerance for ambiguity and the ability to work in a fast-paced environment with competing levels of urgency
- A flexible and positive attitude, good judgement and diplomacy, and the ability to anticipate future needs
- Willingness to learn and grow with the company; ability to take and give feedback and consistently work to achieve better results
- Experience with Microsoft Suite products, Zoom, and expense systems such as Concur
