The New York Times seeks a bureau manager, Nairobi

The New York Times is seeking a Bureau Manager to join the International desk for a 7-month fixed-term contract, ideally to start towards the beginning of August 2023. The position will be based in Nairobi, and report to our Chief Africa Correspondent.

The Bureau Manager is the point person for administrative matters in the New York Times Nairobi bureau.

 

Main Responsibilities:

  • Act as the first point of contact/assistance for all visitors to the bureau.
  • Troubleshoot equipment and resource emergencies (such as a bureau chief needing press pass or to source a flak jacket)
  • Check and approve expenses for team members, as well as assisting in analyzing monthly budgets, alerting relevant people to overspending.
  • Scheduling and travel arrangements for bureau chief / reporters and visiting Times reporter / editors. Organize refreshments/catering for meetings if required.
  • Support Maintain staff contacts lists.
  • Assist in payroll and process invoices for bureau, including freelancer payments.
  • Coordinate and allocate physical resources and operations, including office and personnel moves, subscriptions, and miscellaneous coordination with broader NYT administration.
  • Liaise with HR and IT to onboard new employees; ensure they have appropriate equipment and documents.
  • Liaise with HR to help obtain visas and sort any Immigration issues for expats.
  • Advise on relocation/home moves and assist with temporary accommodation where necessary. Process any associated costs with regard to living accommodation e.g, Rent, Rates if applicable and administer throughout the duration of the employee’s stay.
  • Work efficiently with the Kenyan authorities to obtain and renew residence permits for non-Kenyan staff including the bureau chief and their family
  • Help process and apply for visas for other African countries, at their embassies in Kenya or elsewhere, as needed for travel by bureau journalists.
  • Liaise with security in regard to office security procedures and security during assignments.
  • Any other administration tasks and handling queries relating to bureau and employees where required.
  • Fire marshal and first aid.

The Ideal Candidate Will Have:

  • Degree-level or equivalent office administrator experience.
  • Meticulous organizational skills, with the ability to prioritize with strong attention to detail.
  • Excellent communication skills, written and verbal.
  • Numerate, comfortable and confident working with spreadsheets and budgets.
  • Ability to deal with all levels of management and staff in a highly professional manner.
  • Professional judgment with respect to detail and confidentiality is a must.
  • An appreciation of The Times culture and work ethics.
  • Good general computer skills a must, experience with MS Word, Excel, email. Beneficial to have experience with Notilus, Workday, Egencia or other payment systems.
  • Previous experience in the media sector would be preferred but not essential.
